What is a venue coordinator?

When you book your wedding at Linwood Country Club, you’re not just reserving a beautiful waterfront venue — you’re also gaining the support of our in-house Venue Coordinators. But what exactly does that mean? There’s often confusion around the difference between a venue coordinator and a full-service wedding planner, and understanding that distinction is key to setting expectations for your big day.
Our Venue Coordinators are here to ensure everything related to Linwood runs seamlessly — from floor plans and food service to ceremony flow and reception timing. In this article, we’ll clearly outline what we do, what we don’t do, and how our role differs from that of an outside wedding coordinator, so you can decide what level of support is right for you.

Details Meeting (one month out)
Discuss floor plan, timeline, linens
Lock in menu choices, signature drinks, bar selections
Review decor you’re bringing (i.e. seating chart, guest book, photos)
Bridal Suite & Sports Bar (if applicable)
Provide food and beverage for bridal parties
Maintain Bridal Suite and Sports Bar cleanliness
Wedding Day Set Up
Oversee set up of tables and chairs per couple’s chosen floor plan (for reception and ceremony)
Put out any decor you’re bringing (as discussed in details meeting)
Excludes: assembling floral center pieces, decorating arch, assembling boards/walls/signs, cutting flowers, power tools
Communicate with other vendors during load-in/drop-off
Ceremony Coordination
Run rehearsal walkthrough
Gather and line up anyone walking down the aisle
Pace everyone down the aisle
Communicate with DJ/officiant/photographers to make sure everyone is working together and on the same page
Cocktail Hour & Reception
Assist with bustling dress (if needed)
Communicate with band and DJ to make sure everyone is lined up for introductions into the reception
Make sure the bride and groom eat something pre-reception!
Run through timeline with band/DJ, photographer, videographer to ensure formalities (intros, first dance, parent dances, toasts, dinner service) run smoothly
Ensure salads and dinner are served according to the timeline discussed in the details meeting
Assist with plate-up of dinner
Make sure cake cutting occurs before photo/video leave
Clean Up/Break Down
Pack up all decor provided by bride and groom
Gather anything left in Bridal Suite/Sports Bar
Pass card box off to pre-designated card-taker
WHAT WE DON'T DO:
Aid in Vendor Selection
We have a great preferred vendor list, but we won’t gather price quotes or make inquiries on behalf of the couple.
Decorate your ceremony arch / Assemble floral center pieces
Because you’ll be looking at these photos for years to come, we recommend a professional does this!
Assemble boards/walls/signs
Trust us - you don’t want us using power tools
Oversee Pre-Ceremony Timeline / Gather People For Photos
We are usually busy with reception set up before the ceremony. Usually, your hair and makeup team can guide your “getting ready” timeline, and your photographer will work on the timeline of your photos pre-ceremony (i.e. first look, family, bridal party). If you want more hands-on management pre-ceremony, you might consider hiring an outside coordinator.
SHOULD I HIRE AN OUTSIDE COORDINATOR?
Are you getting ready and/or getting married somewhere else?
If you have lots of moving parts and multiple locations, a planner can handle arranging transportation and making sure everyone gets where they need to go on time.
Do you want help staying on budget?
If you want someone to guide vendor selection, gather price quotes and manage budget throughout planning, consider a planner!
Do you want someone to provide hands-on management before the ceremony?
If you have experienced hair & makeup and photography teams, you probably don’t need a planner. But if you want someone to say “Katie, time to get in the makeup chair, and Lexi, you’re next!” or someone to find Uncle Al (he's definitely at the bar) when it’s time for extended family photos, a planner might be for you.
Do you have an elaborate ceremony and/or reception set up requiring lots of rentals from multiple companies?
Our in-house venue coordinators handle linen rentals and smaller rental delivery/set up. But we have had (very few!) instances where people have rented tables, chairs, lounge furniture, linens, water glasses - all from different companies. In these situations, having someone coordinate delivery and set up is very helpful.
(Note: you could also consider hiring an event designer if you only need assistance with ceremony and reception aesthetics)
(Second Note: these are all beautiful ideas, but none are necessary!)
